Diploma Photocopies
If you need a seal on a diploma photocopy, please fill out the "Diploma Photocopy Stamp Application Form" and submit it along with your document to the Document & Postal Section.
Official Documents & Approved Memos
-
Issued Documents: Once an official outgoing document is approved and printed, the Document & Postal Section will automatically stamp the appropriate seal on the document and its attachments.
-
Approved Internal Memorandum: If you need a seal for a specific task, write an internal memorandum stating the document name and quantity. After getting your supervisor's approval, bring the approved memo and the documents to the Document & Postal Section for stamping.
Non-Official Documents (Contracts, Certificates, etc.)
-
For documents that don't require an official memo, simply fill out a "Seal Application Form."
-
Include the document name, quantity, and the type of seal you need (e.g., University Seal, Principal's Signature Stamp). Once your supervisor approves it, bring the original form and the documents to the Document & Postal Section.
Verification & Records
-
The seal custodian will double-check that your documents have the proper approval, verify the document names and quantities, and make sure the correct seal is applied.
-
Once stamped, the Document & Postal Section will keep a copy of your memo or the original application form for their records.
